At the agency where I was Digital Products Director, we had 40 active clients and north of 30 projects running in parallel at any given time.
That sounds manageable on paper. It is not. Not when delivery lives in Jira, revenue targets live in a Google Sheet, contracts live in a folder no one has organized since 2021, and the question "are we actually profitable this quarter?" takes three people half a day to answer.
I am not someone who gives up on tools easily. I spent years trying to make it work — Asana, Monday, Teamwork, ClickUp, Harvest, custom Notion setups, spreadsheet automations. I benchmarked dozens of tools. I built internal processes around their limitations. I even customized some of them heavily to get closer to what we needed.
The problem was never the tools themselves. The problem is structural: none of them were built for an agency. They were built for product teams, or for freelancers, or for enterprise procurement. Nobody built the one thing an agency operations director actually needs — a single view that connects revenue, projects, contracts, retainers, and infrastructure, and tells you what is at risk before it becomes a problem.
